Organization Stage Planning Guide
In this phase, the participants agree on exactly how the project will be run, what timeline they will follow, and other aspects of the project. This phase often starts with an official "welcome" message from the organizer/coordinator, directed to everyone who has expressed interest in joining the project by responding to the proposal.
Official "Welcome" message
Here are some of the components of an effective "welcome" message.
- What's the schedule for the project
- Timeline (not too loose, not too tight)
- distribution of roles
- Access to resources (web site, file server, etc.)
- Putting addresses in bcc field or using an email reflector
- How to keep in touch
- List of participants
